Role Summary

An exciting opportunity has arisen within the Glaucoma Unit based at Heavitree Hospital. We are looking to recruit a Slot Administrator to join our friendly team to support the booking of outpatient appointments across Axminster, Heavitree, Nightingale and Tiverton Hospitals.

You will be involved in booking patient appointments, planning outpatient Clinics and providing administrative support. You will have excellent organisational, administrative and communication skills, to which this post will provide a wealth of opportunities to expand and develop.

The successful candidate will provide support to the Service Co-ordinator and line manager by:

  • Coordinating a professional, efficient and effective appointment booking service to patients and visitors in accordance with Royal Devon University Healthcare NHS Foundation Trust policies and standards.
  • Maximise all available outpatient capacity in an appropriate way, escalating concerns to the Service Co-ordinator and Glaucoma Unit Manager.
  • Ensure all referral processes, pending lists, reminder service reports, appointments and enquiries are dealt with in an efficient and timely manner and escalate any issues to the Service Co-ordinator and Line Manager as appropriate.
  • Undertake general clerical duties to maximise all available outpatient capacity in an appropriate way.

The successful candidate will have exceptional administration and organisational skills. This role will keep you both challenged and busy, ensuring clinic slots are filled appropriately.

You will be focused on coordinating a professional, efficient and effective reception and appointment booking service and setting up and altering Clinics. You will ensure the referral processes, pending lists reminder service reports, appointments and enquiries are dealt with in an efficient and timely manner. All this will result in a coordinated and efficient clinical Out Patient timetable.

Candidates will be required to demonstrate empathy and compassion when dealing with distressed patients and relatives.

The post holder will be an essential part of the team ensuring Clinics are implemented onto our EPIC computer system. This post requires an excellent telephone manner and a desire to provide outstanding care to our patients. 

You must be highly motivated with excellent communication skills, an ability to use your own initiative and be able to work well under pressure. You will be adaptable, reliable and an excellent team player.

Working Pattern: 37.5 hours per week, Monday to Friday between the core hours of 8am - 5pm

This is a fixed term contract for 12 months. For current NHS employees this post could be a secondment opportunity.
