Slot Administrator - Surgery Booking Office

Role Summary

  • ensure outcomes are recorded timely and follow-up appointments are made
  • Monitor clinics to ensure full slot utilisation and escalate any issues to Admin Line Managers
  • be responsive to requests for urgent/2WW slots and escalate issues with providing these slots to the Admin Line Manager/Cluster Manager if appropriate
  • Monitor pending lists and action Appointment Slot Issue requests, ensuring patients are booked within waiting times and breach dates
  • Set up ad-hoc, irregular and new clinics.  Ensure the relevant teams are made aware of additional slots and linked to NHS E-Referral Service if needed
  • Contact patients whose appointments need to be changed and advise relevant persons of this
  • Supporting booking clerks and ensuring phone cover to reduce queue times.
  • Liaise with Clinicians and Admin Line Manager to ensure prompt referral grading 
  • Liaise closely with medical secretaries and provide relevant specialist knowledge
  • Understand the outpatient waiting list and Referral To Treatment (RTT), NHS E-Referral Service processes to ensure that RTT waiting times meet NHS standards/targets in line with the Trust Access policy
  • Use multiple computer systems within the department eg EPIC, NHS E-referrals, CRIS
  • Ensure accurate and up-to-date patient details are maintained in line with Trust Information Governance policy
  • Respond to complaints where appropriate, escalating to Line Manager if unable to resolve

We are looking to recruit a Slot Administrator within our Surgery Booking Office based at Osprey House, Sowton.

This is an exciting opportunity for a committed and motivated individual, with strong administrative skills, to work alongside a dedicated team within a number of different Surgery specialties, which provides care to patients of all age groups across Devon.

The post holder will be a point of contact for patients and/or their representatives so an excellent telephone manner and a desire to provide outstanding care to our patients is essential. 

The successful candidate will be part of the wider team and will build relationships with other staff groups to ensure a smooth journey for all our patients.

The post holder will be expected to use the local patient administration system, Epic, to book patient appointments and full training will be provided.]

Working Pattern: 8.30 - 4.30 or 9.00 - 5.00 on a rotational basis
