Service Administrator (Stroke Medicine)

Role Summary

Are you interested in joining our friendly and busy Stroke Team? We have an exciting role working with the Clinical teams across the service including Consultants and Nursing team.  We are looking for an enthusiastic and motivated Service Administrator (Medical Secretary) to join the Stroke Team based at William Wright House, Royal Devon and Exeter Hospital Wonford. As an individual we are looking for someone who enjoys working as part of a busy and vibrant team, who is able to prioritise their workload, and can remain calm under pressure.

You will need to have excellent communication and interpersonal skills, proven experience in dealing with service users on the telephone. You will be flexible and adaptable with excellent IT skills. You will need to enjoy the challenge of working as part of a busy team yet have the ability to use your own initiative to meet the changing needs of the department and Stroke service.

More detail about the role

  • To provide a full and efficient Secretarial service to Consultants and Clinical teams. This will include proof reading, minute taking, diary management and ensuring that all documentation is produced to an excellent standard
  • To provide cover for Rapid Access Stroke Clinic when required, this includes uploading referrals to EPIC, contacting patients for appointments and booking appointments on EPIC
  • To liaise with Consultants and Clinical teams on a daily basis
  • Supporting with the Stroke support team questionnaires for patients
  • Ensure all information is secure and confidentiality of information is maintained at all times 
  • Provide excellent customer care which may include communication with distressed and anxious patients and relatives, treating them with tact and empathy
  • Completing minutes and attending Governance and Business meetings along with Diary meetings for the clinicians.
  • Completing the stroke cover rota
  • Use multiple computer systems as required within the department such as EPIC (MyCare), MS Office applications
  • Ensure the professional image of the Trust is maintained at all times
  • Adhering to Trust policies, systems and procedures (including the Trusts’ Confidentiality policy)
  • This role may also involve covering for the wider team in Healthcare for Older People, when required

Working Pattern:

There are 2 positions available:

1 fixed term role at 37.5 hours per week

1 substantive role at 30 hours per week
