Role Summary

Do you enjoy keeping a busy nursery running smoothly and helping families feel welcome from their first enquiry? Join our Ofsted Outstanding First Steps NHS Nursery in an Admin and Finance role, supporting our Administrative Manager and the wider childcare team.

You will be a friendly and dependable point of contact for families, colleagues and visitors. Your work across bookings, occupancy, funding and finance will help our nursery provide reliable childcare for NHS staff and their children.

Supporting the Administrative Manager, you will help coordinate the day-to-day administration and finance of the nursery. You will maintain accurate records, respond to enquiries, manage bookings and occupancy information, and support the smooth running of admissions and changes to childcare arrangements.

You will help keep the setting secure by following visitor, access and information-handling procedures. You will prepare invoices and funding records, check payments and queries, and help families understand the practical details of their childcare arrangements.

This is a varied role with a real connection to nursery life. You will contribute to social media and newsletters, order supplies, receipt goods and support other administrative tasks as priorities change. Clear, warm communication and careful attention to detail will make a difference every day.

Key duties:

  • Support the Administrative Manager with nursery administration, accurate records and the secure day-to-day operation of the setting.
  • Manage enquiries, bookings and occupancy records, helping families and colleagues receive timely, accurate information.
  • Prepare and check invoices, childcare funding information and related finance records, escalating discrepancies appropriately.
  • Help produce social media updates and newsletters in line with Trust processes and confidentiality requirements.
  • Order supplies, receipt goods, maintain records and follow up queries with suppliers and colleagues.
  • Communicate professionally with parents, carers, staff and visitors, and support other Childcare Services administration as required.

About you:

We would love to hear from someone with strong administrative and organisational skills who enjoys working with people. Experience of finance administration, childcare bookings or funding is helpful; please refer to the person specification for the full requirements.

You are a great communicator who can explain information clearly and sensitively, manage competing tasks and maintain accurate records. You handle confidential information with care, work well with colleagues and enjoy finding practical solutions for families.

A DBS check will be required, we’ll cover the costs now and for renewals in the future.

Working pattern: 9.30am – 18.00pm - Monday. Tuesday, Wednesday, Thursday and Friday. (37.5 hrs per week) – Fixed Term for 12 months to cover maternity leave.

Our nursery provides childcare provision only to colleagues with an NHS contract.

It’s set on our Wonford site in a purpose built, spacious building and generous outdoor spaces – a perfect setting for fun, play, and learning! Which is reflected in our Ofsted Outstanding Provider rating and the happy children who attend from 3 months to 5 years old.

We care for up to 105 children a day in five rooms, with access to our different outdoor play spaces which include:

  • an extensive full enclosed grass area

We’re open for our:

  • Breakfast club 7.00am – 8.00am
  • Core hours are 8.00am – 6.00pm

You will work closely with our Administrative Manager, Nursery Manager and childcare team. Together, we help families access dependable childcare and support the colleagues who care for patients across the Royal Devon.

Our five most important team members are our Axolotls Phil, Lizzie, Goldie, Speckles and Freckles who meet and greet everyone each day.  Each room also has a fish tank which provides a calming spot for children to relax, share a story or even a song!
