The Exeter Mobility Admin Team have an exciting opportunity for a Band 3 Administrator to join the existing team on a permanent basis for 37.5 hours per week Monday to Friday working on-site at Exeter Mobility Centre (EMC), location based in Marsh Barton, Exeter. Working together within a multidisciplinary team our valued Administrators play an essential role in ensuring the service is able to deliver excellent quality of care to a wide variety of patients across Devon helping people to live their life as independently and meaningfully as possible. EMC Wheelchair Service provides a mobility service to both adult and paediatric clients in Devon who clinically present with long term mobility needs that require a wheelchair in order to mobilise. EMC Wheelchair Service provides and maintains a wide range of wheelchairs, special seating and pressure relieving cushions to clients through direct specialist assessment with the aim of maximising independence and promoting good posture whilst enabling mobility. Our multi-disciplinary teams work closely with patients and carers providing: advice and equipment and rehabilitation, encouraging and helping patients to live comfortably and with dignity.
Working alongside Specialist Wheelchair Therapists, Rehabilitation Engineers, Rehabilitation Technician, EMC Management, Approved Repairer Service and external suppliers you would support us to ensure the service runs smoothly completing general day to day administration tasks – including but not exclusive to; supporting Leads with on-going project work, handling incoming referrals, booking patient appointments, processing of complex reports, invoicing, dealing and actioning incoming requests via telephone, email and occasionally face to face. There are around 7 administration staff based at the Exeter Mobility Centre providing support to around 15 clinical team members and management. You would be a valued member of the busy EMC team and vital to our delivery of excellent care.
The successful applicant will be enthusiastic, self-motivated and hard-working. You will have good customer care skills, an excellent telephone manner, good attention to detail, organised with the ability to cope with complex tasks such as using a database which requires input and the recording of client information. You must be able to work accurately under pressure, whilst remaining calm and courteous and work well as part of a team, providing support and guidance to all colleagues when needed.

Role Summary:
- Communicate effectively, notifying colleagues and direct line managers of any issues that may cause harm or significant delays to patient care/ operational delays.
- Coordinate and organise the attendance of patients to outpatient appointments in line with local team and Trust arrangements as instructed, and inform patients of any short notice changes of appointment wherever possible providing them with alternative dates.
- In line with Trust guidance, proactively oversee and action all day to day correspondence and communication within the department; including; face to face, telephone and email communication.
- Ensure the referral process is completed fully and completely.
- Monitor waitlists for potential breaches to the NHS Referral to Treatment (RTT) timeframes and act upon this information according to Trust and local guidance.
- Support multi-disciplinary team meetings.
- Partake in training when required and work as part of the team to develop processes.
- Provide excellent customer care, a full and efficient high-quality administration service utilising various software platforms to support clinical teams across the EMC Service: BEST, Agresso, MS Outlook, MS Excel, MS Word.
- Supporting Leads with on-going project work, including Quality Assurance and formatting of documentation.
- Record information accurately on patients records in line with Trust Information Governance policy.
- Respond to complaints where appropriate, escalating to your direct Manager if unable to resolve ensuring Trust guidance is followed.
