Role Summary

We are looking for an enthusiastic and dedicated individual to join our team within the Ophthalmology Department. The West of England Eye Unit is a busy department, that is constantly evolving to adapt to our growing number of patients. We are looking for a motivated individual who thrives in a fast-paced environment.

In this role, you will be an integral part of the team and the first point of contact for our patients. You will play a key role in delivering a high standard service by managing communications, booking and cancelling appointments, and ensuring patient information is handled efficiently and accurately.

Key responsibilities include:

  • Managing Telephone Enquiries and Appointment Requests:
    Respond promptly and professionally to incoming calls, handle appointment requests, provide clear information, and support patients with any queries or concerns.
  • Booking Patient Appointments:
    Accurately schedule patient appointments from waiting lists, ensuring all details are correct and appointments are arranged in a timely manner. Identify and escalate any capacity issues where necessary. Manage appointment cancellations and rebook patients promptly, minimising delays and optimising clinic capacity.
  • Managing Waiting Lists:
    Monitor and validate waiting lists to ensure patients are booked within appropriate timeframes and according to clinical priority.
  • Clinic Coordination:
    Work closely with clinicians, nurses, and administrative staff to ensure clinics are utilised effectively and run smoothly.
  • Compliance and Confidentiality:
    Ensure all work is carried out in accordance with NHS policies, maintaining strict patient confidentiality at all times.
  • General Administrative Duties:
    Provide administrative support to the department as required.

We are looking for an individual to provide an efficient, professional administrative and clerical service to the Ophthalmology Department within the Surgical Services Division. You will form an essential part of an extremely busy team, ensuring patient appointments are booked accurately and that patient information is updated regularly and in a timely manner.

You will be responsible for delivering effective and compassionate communication to both patients and staff, helping to ensure the smooth running of the service and contributing to a positive patient experience.

In addition, you will be expected to manage a high volume of telephone enquiries, coordinate appointment scheduling in line with clinical priorities, and support the effective management of waiting lists. You will work closely with clinical and administrative colleagues to ensure clinics are utilised efficiently, escalating any issues related to capacity, delays, or patient concerns where appropriate.

This role is ideal for someone who enjoys working in a fast-paced environment and thrives as part of a team working towards a shared goal. Strong organisational skills, the ability to prioritise workload, and a proactive approach are essential to succeed in this position.

Working Pattern: Monday - Friday, 09:00-17:00
